Description

Genesis Women’s Shelter & Support is a non-profit agency providing a continuum of care for women and children who are victims of family violence. For years Genesis has been providing safety, shelter, crisis intervention, on-going counseling and advocacy for women and children at both residential and non-residential locations.  Genesis continues to be a community leader in providing training and education on issues surrounding intimate partner and gender-based violence.

The Bilingual Administrative Assistant of the Clinical Department provides administrative and clerical support for the Chief Clinical Officer and clinical team. The Bilingual Administrative Assistant will assist the clinical team in translating documents, assisting with client / department files, assist with coordination of various events and any other administrative assigned task.

  • Ensure all assigned translation assignments are completed by the designated deadline. 
  • Assist with written translations from English to Spanish and from Spanish to English.
  • Provide Spanish interpretation for child counseling intakes and counseling parent consults.
  • Required to enter a various amount of data on a daily, weekly, and monthly bases (i.e. productivity reports, clinical stats, client satisfaction surveys, and any other assigned data.)
  • Follow up with missing data from clinical team or other departments as needed.
  • Assist with client files for court, coordinate with appropriate parties to gain signature on affidavit, create / review letters from former clients and quality control assurance in clinical software.
  • Review wait list and follow-up with clients to ensure proper communication is provided.
  • Assist the Chief Clinical Officer with administrative tasks including (i.e. coordination of clinical staff evaluations, arranging community meeting, reserving rooms, assist in preparing submission packet).
  • Manage Team Resources (updating accounts, control supply inventory, order new supplies when needed, manage birthday cards, and organizing clinical shared drive).
  • Assist with updating the team protocol and procedures and other trainings on the clinical drive (i.e.S Drive). Ensuring that all protocols have been updated due to changes in the clinical software.

Skills / Requirements:

  • Bilingual (English/Spanish) required
  • Bachelor’s Degree + One (1) years of related work experience ­OR four (4) years of related work experience
  • Must have professional verbal and written communication skills
  • Ability to learning complex client database system
  • Detail-orientated mindset
  • Capable of working independently and using problem solving skills
  • Ability to communicate effectively, both orally and written
  • Possess strong organizational skills and the ability to multi-task and prioritize in a highly fast-paced environment
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook), Google Docs, TEAMS, and Canva.
